A new office chair should not wobble, lean or develop loose fittings after a few days of use. In many cases, the problem is not a faulty chair but an assembly mistake, such as tightening one bolt before the others are properly aligned or fitting the mechanism slightly out of square.

Following the right assembly instructions helps ensure the chair is stable, comfortable and ready for daily use. Syona reduces much of this assembly work before delivery by fitting and checking key components of our ergonomic office chairs, including the seat, backrest, armrests and mechanism, at the factory.

What is in the box

Open the carton and you will find three parts, one of each.

Castor base. The five-star base with castors is already fitted, so there is nothing to press in.

Gas cylinder. The column that carries the seat and gives you the height adjustment.

Chair subassembly. The seat, backrest, armrests, and mechanism are already built as one piece.

That is the whole parts list. No Allen key, no bolts, no armrests to line up.

How to assemble an office chair

Step 1

Stand the castor base flat on the floor with all five castors down.

Hold the gas cylinder upright, align it over the bore in the centre of the base as the manual diagram shows, and push it into the bore by hand. No tool is needed, and none should be used. The fit is tapered, so the cylinder sits in place under its own weight and locks fully once the chair is loaded.

Check it stands straight before going further. A cylinder that looks tilted is one not seated square, and it is far easier to lift out and reseat now than after the chair body is on top.

Step 2

With the base and cylinder standing on the floor, lift the chair sub assembly and lower it over the cylinder, lining the mechanism up so it drops onto the cylinder head.

It will feel loose at first, which is normal. The joint is a taper fit, so it needs load to lock. Press down firmly, or simply sit on the chair, and the mechanism seats onto the cylinder.

That is the assembly is finished.

Checks before the first sit

Three quick checks confirm the job is done. Roll the chair a short distance and watch that all five castors turn. Raise and lower the seat once through its full travel to confirm the cylinder is seated and the height adjustment works. Test the tilt mechanism by leaning back gently and checking that it moves smoothly. Engage the tilt lock and make sure the backrest holds securely in the locked position. Then sit and shift your weight side to side. A chair that rocks at this point usually means the cylinder or mechanism has not gone fully home, so lift the body off, reseat it and load it again.

Why ergonomic chair assembly usually goes wrong

The parts that cause trouble are the ones bolted together at the point of use. A backrest fixed slightly off square. A mechanism fitted the wrong way round, so the tilt lever ends up on the wrong side. Armrests set at different heights. One bolt tightened fully before the others, pulling the whole assembly out of true. Each of these turns into a wobble or a lean a week later.

An ergonomic chair has more of those joints than a basic one, because the mechanism carries the tilt, the tension and often the seat slide. That is exactly why Syona makes and checks those joints in the factory rather than leaving them to an office floor on a Friday afternoon. What is left is one push fit and one load fit, and neither can be done half way without being obvious straight away.

Flat pack chair or pre built chair body

The difference shows up most on a large order. Fifty flat pack chairs is a day of work for two people. Fifty Syona chairs is an hour, with no tools to find and no bolts to check afterwards.

Setting the chair up once it is built

Assembly is one job and fitting the chair to the person is another. Set the seat height so your feet rest flat with your knees at roughly a right angle. Set the recline tension with the knob under the seat until the backrest follows you without pushing back. Bring the armrests to where your shoulders drop rather than lift.

Office chair assembly: common questions

Can the gas cylinder be removed once fitted?

It can, but it is meant to stay. The taper tightens with use, so removing it means pulling the base and cylinder apart deliberately. Get the alignment right at step 1, and there is no reason to.

Does this apply to every Syona office chair?

The three-part build covers the Venus Excel, Venus WT, Mars Optima, Neptune Spark, Neptune Ease and Mercury Pulse. Gang and cafeteria seating ship differently, so check the manual in the box for those.
